RESIDENTIAL DIVISION RECEPTIONIST

At WestMark, our job is to create a first-class experience for all of our agents and clients. WestMark, Realtors Receptionist develops and implements communications and marketing content for a variety of media platforms. This critical position requires someone who can be interrupted frequently, maintain an exceptional attitude, joyfully serve others and shares our belief that people come first.

Responsibilities & Duties

• Provide a positive first impression for guests and agents by maintaining a friendly, courteous atmosphere in the reception area

• Prioritize phone calls, mail, contracts, etc for agents and Management

• Organize monthly on-call schedule and company calendar

• Coordinate with broker to Gather appropriate information for the agenda each Monday and design a residential slideshow for the Tuesday Sales Meetings

• Assist agents with marketing by creating flyers, CMAs, postcards, pop-by boxes, etc.

• Update and distribute company rosters (birthday, phone, address, etc)

• Support company culture by assisting with life events (birthdays, funerals, hospitals stays)

• Maintain residential key system

• Provide backup for other service team members as needed

Job Qualifications

• Technologically savvy and able to learn new programs quickly and able to troubleshoot common issues; proficiency in Word, Excel, Power Point, Outlook and Internet skills

• Have excellent attention to detail and high-level accuracy

• Flexible in daily routine; ability to prioritize and manage shifting responsibilities

• Able to make quick and effective decisions, solve problems, as well as maintain confidentiality

• Excellent verbal and written communication skills

• Proficient in time management

Work Time

Full Time: Monday – Friday; 8:00 – 5:00

Compensation & Benefits

Personnel receive the following days off: New Year’s Day, Good Friday, Memorial Day, Independence Day, and Labor Day. Thanksgiving and Christmas Holidays of several days’ length are set annually by Management
